President
2020-2021 School Year: Brooke Fortier

  • Presides at all meetings of the Executive Board and the General PTA
  • Sits on the School Leadership Team
  • One of the three check signors responsible for assisting the treasurer in money management
  • Represents and supports all Ballantyne PTA and school events
  • Serves as a liaison between administration and the PTA or staff and the PTA as needed
  • Works closely with other board positions and committee chairs to handle all programs and events provided by the PTA
  • Provides important information to administration for Sunday phone calls or records PTA-specific phone calls to go out to all families
  • Currently is in charge of offering school tours for new families
 

Treasurer

2020-2021 School Year: Ashley Linderman

  • Serves on the Executive Board and assumes all responsibilities including volunteering when needed as well as other duties as called on by the President 
  • Handles the General Funds of the Association thereby keeping full and accurate account of all receipts and disbursements as well as preparing and delivering monthly reports to the Executive Board and annual reports and ledgers to the external auditor
  • Knowledge of bookkeeping, finance, or accounting a plus
  • Prepares and monitors an annual budget with officers
  • Prepares and distributes all disbursements
  • Deposits all earned income into the PTA bank account
  • Ensures compliance with tax, regulatory, non-profit and insurance laws
  • Ensures that tax letters for Capital Campaign are sent
  • Keeps an accurate and cumulative list of all donors throughout the year, and across events.  This includes cash and in-kind donations with amounts, dates and all necessary contact information.
  • Speaks to the state of the budget at general PTA meetings
  • Oversees Committee Chairs thereby giving budgetary status updates at the Executive Board meetings

Secretary

  • Types and distributes Executive Board Meeting minutes
  • Takes minutes at the General PTA Committee meetings
  • Ensures critical documents are maintained properly
  • Enters new PTA members into MemberHub as necessary
  • Responsible for maintaining Pay4SchoolStuff.com payment items and providing sales reports to committee chairs as necessary
  • Responsible for updating the digital sign at the front of the school with upcoming events

Vice President, Communications

  • Oversees the Volunteer Coordinator to ensure all interested volunteers are notified of opportunities

Vice President, Fundraising

  • Responsible for coordinating fundraising efforts across the various PTA fundraisers
  • Creates a set of documents to be used to solicit corporate sponsors in a coordinated way
  • Oversees major fundraisers (Capital Campaign) and ensures that donors are recognized and tax donation letters are sent
  • Oversees any additional fundraisers such as Boosterthon Fun Run, Book Fair, Bears Night Outs, Spirit Wear and Square 1 Art Fundraiser
  • Solicits Community Sponsors; coordinates and ensures benefits are received
  • Helps event chairs secure sponsors for the major fundraising events if needed
  • Gives status updates at Executive Board meetings​

Vice President, Programs

  • Oversees all PTA and School Clubs by organizing contact information, ensuring compliance with CMS outsider provider policies and thereby giving status updates at Executive Board meetings
  • Provides all club related information to VP of Communication to ensure all families have access to club sign-up information
  • Works with the school to organize the club calendar and meeting locations for each group.
  • In charge of purchasing cookies and lemonade for all Character Bear assemblies and refreshments for all Principal Coffee events.
  • Works with Ms. Zelinski to organize PTA sponsored cultural arts assemblies
  • Works with Reflections Chair to organize submissions of artwork to this state-wide art contest.

Vice President, Special Events

PTA Committee Chair Roles and Responsibilities

Due to COVID-19 Restrictions and Distance Learning, Many of these Roles Will Remain Vacant for the 2020-2021 School Year


5th Grade Celebration: VACANT FOR 2020-2021
Usually 2 co-chairs with graduating 5th graders.  These chairs are responsible for building a committee to plan and execute the 5th grade celebration (dance) at the end of the year including food, vendors, decor and favors.  To supplement the PTA budget the committee also organizes and staffs concession stands at various PTA events throughout the school year.  Also responsible for deciding on and sourcing the class gift to the school as well as the 5th grade portrait gallery that is hung down the halls near the end of the year.  In recent years they have also prepared a slideshow of photos from the year to play at the promotion ceremony.

Art Fundraiser (currently Square 1 Art): VACANT FOR 2020-2021
This volunteer helps coordinate the annual art fundraiser with Ms. Zelinski, our fabulous art teacher which begins after Winter Break with art purchases arriving before Mother's Day.  After coordinating a start date with the Square 1 rep and receiving the materials, the chair takes class rosters and makes stickers for each child and organizes them by class for Ms. Zelinski.  Each student prepares their art (during art class) on their labelled paper.  Once all art is complete, the chair ensures that all students are accounted for and mails the art back to Square 1 in the provided box.  The Art Fundraiser chair assists with getting out information about ordering, helps to submit any check orders received to Square 1, and organizes and distributes the orders that are purchased when they arrive at the school.  The chair also is responsible for following up with Square 1 to ensure that our fundraiser check is received and turned into the treasurer.

Ballantyne Bears Night Out (BBNO)
In charge of contacting local restaurants to set up spirit nights and then providing that calendar to the PTA Board for approval and communication to our families.  Works with restaurants to arrange flyers, stickers, or signs to be distributed to create event awareness.  Follows up with restaurants after the events to arrange payment of donation.  For restaurants that do not wish to mail their donation check, the chairperson is responsible for picking up the check and bringing it to the treasurer for deposit.

Beautification: VACANT FOR 2020-2021
In charge of maintaining the appearance of the front walk of the school including (but not limited to) flowers, flower pots, and seasonal decor/wreaths.  Also in charge of organizing at least 2 school beautification days (usually right before school begins and in the spring) to help maintain the welcoming appearance for visitors.

Bingo Night: NOT REQUIRED AT THIS TIME
In charge of leading a committee of volunteers to plan and execute the evening event.  Determines event timing, ticket packaging, and headcount numbers.  Works with the Treasurer to ensure a bingo license is obtained from the State of North Carolina.  Works with the Secretary to post the ticket sales, the Treasurer to account for ticket sales, Communications to inform and increase attendance, 5th Grade Committee to staff concessions, and janitorial staff to ensure the event is set up and cleaned up properly.  Builds a team of volunteers to man the admissions table, call out bingo numbers, acts as bingo checkers, mans the prize table, and handles food. Solicits prize donations from families and the community and organizes the donation or purchase of food for sale.  Must have strong organization skills.

Book Fair Co-Chairs (usually 2)
These  dedicated co-chairs are some of the most popular volunteers at the school - everyone loves the Book Fair!  The chairs are responsible for overall coordination and planning of one of our most profitable fundraising events, including scheduling preview times with teachers, set-up, take-down, any before and after-school events, creating signs and flyers, organizing volunteers. Responsible for knowing the inventory, speaking with Scholastic reps on a daily basis to order restocks, running daily reports, and maintaining bank deposits and petty cash. .Time commitment is significant for the 2+ weeks out of the year that we hold our fairs. STRONG organization skills required.

Bulletin Board Designer: VACANT FOR 2020-2021
In charge of seasonally updating the PTA bulletin board in the front hallway and maintaining the PTA calendar on the board.  This job must be done during school hours but is usually only a once a month commitment to update the calendar and change out the decorations.

Carnival
In charge of planning and executing one of our most popular family events of the year!  Coordinates with vendors for our games and attractions, solicits donations, organizes volunteers, and manages all related parties on the day of the big event.  Excellent planning and organization skills required.
​
Class Parent Coordinator: VACANT FOR 2020-2021
This person organizes the largest group of volunteers at BES.  Ensures each classroom has class parent coverage.  Prepares email information that must be sent out through class parents.  Ensures class parents are organizing class parties and works to resolve issues that may arise.  Most of the work of this job is at the end of the summer and right at the beginning of school.  The coordinator runs one or two training meetings and must find helpers for classes where no one originally volunteered.  Once class parents are up and running, very little maintenance is required except to remind class parents about party emails and to solve any one off issues that come up.

Father-Daughter/Me and My Guy Dance: VACANT FOR 2020-2021
In charge of leading a committee of volunteers to plan and execute the evening event.  Determines event timing, ticket pricing, and headcount numbers.  Works with the Secretary to post the ticket sales, the Treasurer to account for ticket sales, Communications to inform and increase attendance, 5th Grade Committee to staff concessions, and janitorial staff to ensure the event is set up and cleaned up properly.  Researches and books a DJ for the event.  Builds a team of volunteers to man the admissions table, run the photo booth area, and handle food. Solicits donations from the community or purchase of food for sale.  Works within the confines of the budget allocated by the PTA Executive Board and approved by the General Assembly.  Must have strong organization skills.

First Grade Art Night Coordinator: VACANT FOR 2020-2021
Organizes the 1st grade student art gallery night (usually in February each year) where Ms. Zelinski chooses art from each student in the grade to display.  Organizes the submitted art and then mounts the art to colored card stock for display.  On the day of the event, the coordinator helps Ms. Zelinski to hang the art in the hallways and host the event for the families at night.  The time commitment is very minimal and is mainly only during the week leading up to the event.

Hospitality: VACANT FOR 2020-2021
One of our staff's very favorite volunteers!  This person is in charge of organizing the fun events that we do for our staff throughout the year.  
  • They are in charge of deciding on dates and themes for each of the 6 "teacher treat" events held throughout the year.  They build sign-ups based on what food they want served to match the theme and provide those sign-up links to Communications at the beginning of the year to post to the website and promote each month.  They monitor the sign-up to notify Communications if more volunteers are required for food or help.  When the day of the event arrives, they staff the event from set-up (about 9 am) to clean-up (about 2 pm) in the teacher workroom on the day of the event.
  • They are in charge of the 2-3 teacher events that we have catered during the year.  
    • A Back-to-School Breakfast that is held at the teacher retreat in August.  Hospitality works with the School's Senior Executive Admin to plan this menu.  Hospitality also provides goody bags for the retreat event as a way to welcome teachers back and thank them for all of their hard work.
    • A Winter Holiday Luncheon is held in December and is catered by an outside restaurant.  Hospitality plans the menu using the PTA budget, orders the food, buys desserts if they are not ordered from the caterer, builds a sign up for volunteers, and sets up/staffs/cleans up the event.
    • A Teacher Appreciation Luncheon is held on Teacher Appreciation Day in May each year.  Similar to the winter luncheon; hospitality plans the menu using the PTA budget, orders the food, buys desserts if they are not ordered from the caterer, builds a sign up for volunteers, and sets up/staffs/cleans up the event.
  • Hospitality plans and executes Teacher Appreciation Week each year (the week is fluid and is determined by the Principal and PTA President each year)
    • Events are planned each day of the week for the staff.  Hospitality is in charge of deciding on these events and planning and executing them.  If volunteers are required, a sign-up is built and provided to Communications.
    • One event during the week is often a lunch provided to the staff.  Hospitality works with their budget to decide if this can be catered or provided by families.  It is planned and executed based on that decision by ordering food or requesting donations.  The event is staffed by the Hospitality chair and their volunteers.
    • Events are also planned for students each day (I.e. wear your teacher's favorite color, bring your teacher a flower, etc.) and they are provided to Communications to inform the parents and students.

Lost and Found: VACANT FOR 2020-2021
This job can be performed on your schedule but involves coming in to the Lost in Found periodically to organize and straighten the items.  Each quarter, items not collected are bagged up and taken to the front office for pickup by a local charity.  Various methods have been used in the past to determine what items have been in the Lost and Found long enough to donate but usually involves tagging items and then providing a pickup date to Communications to announce.  Once that date passes, any tagged items remaining are donated while new items that have recently arrived are left to be collected until the next donation date.

Media Center Volunteer Coordinator: VACANT FOR 2020-2021
Organizes the large pool of volunteers that we have helping out in the BES media center.  They provide training to new volunteers and coordinate volunteer shifts.  During their shifts, our media center volunteers help kids navigate our book collection, keep our library in order, and assist Ms. Cooper in checking in returned books.

Mother-Son Event: VACANT FOR 2020-2021
This event has changed over time from an outdoor evening running event to an indoor glow-themed obstacle event.  The choice of the event each year is at the discretion of the Chair and the Executive Board and is decided upon near the beginning of the school year.  New ideas are always welcome!  The Chair is responsible for informing Communications of the theme, working within their budget to plan the event, building a sign-up for volunteers, supervising the event, and working with school janitors (if necessary) for setup and cleanup.
​
Movie Night: NOT REQUIRED AT THIS TIME
Decides upon the movie and organizes the purchase of the license.  Ensures communications are made to families, organizes popcorn committee and volunteers along

Newcomer Hospitality: VACANT FOR 2020-2021
Responsible for updating our welcome letter that goes to new families each school year (currently we offer the letter in English, Spanish, French, and Korean and the chair updates each of these accordingly).  Currently new family tours are provided by our PTA President since this position is vacant but a prospective applicant would take over the school tour role as well.  You can choose for tours to be given on demand or at a set time each week as your schedule permits.  This volunteer also helps the PTA assemble beginning of the year student packets in the late summer and helps the front office assemble newcomer packets as needed during the year when extras from the beginning of school run out.
​
Paw Press (BES Student Newspaper) 
This role manages the PTA sponsored newspaper club and produces, with a team of journalism-minded students, 4 Paw Press Editions each school year.  Works with the PTA Board VP of Programs to set the schedule for when the club meets in both the fall and spring and then is the adult in charge of each club meeting.  Responsible for submitting the 4 editions to our printer and then submitting the invoice for payment or reimbursement.
​
Popcorn Committee:  NOT REQUIRED FOR 2020-2021
In charge of working with the PTA President to plan Popcorn Friday dates for the year.  Once decided, builds a sign-up to provide to Communications to solicit volunteers.  Reviews inventory and orders supplies as necessary.  Mans each event with their volunteers to pop popcorn for all students and staff.  Popcorn days usually last from 8 am to 11 am and the frequency is at the discretion of the Chair and the Executive Board each year.

Promotions: VACANT FOR 2020-2021
This role is flexible depending on the various fundraising promotions that are decided upon each year.  In the past, the primary job has been the organization and submission of Box Tops for Education.
​
PTA Rock: VACANT FOR 2020-2021
In charge of updating the front rock at the school throughout the year, as necessary.  These updates can be done on evenings and weekends making this the perfect role for an artistic volunteer that already has daytime commitments.

Reflections Art Contest
In charge of reviewing the North Carolina Reflections Art contest rules/categories and deciding which categories we will offer for submission.  They are then responsible for communicating the rules and contests to the PTA Board VP of Communications to announce the contest.  When submissions are received they are mounted and submitted to the appropriate contest contact per the instructions.

Spirit Wear: VACANT FOR 2020-2021
In charge of working with our external spirit wear provider to decide on the styles and types of merchandise offered and then working with our creative designers to pick the school logo designs that will be represented.  For events where spirit wear is sold in person, this chair is responsible for manning that table or finding volunteers to staff it for them.  Also responsible for ensuring that the proceeds of the fundraiser are received and remitted to the treasurer.

Volunteer Coordinator: NOT REQUIRED AT THIS TIME
Organizes the large pool of general volunteers that we have interested in helping out at BES.  When a committee needs to be staffed or an event needs extra help, an email is sent to our Volunteer Coordinator who takes our list of general volunteers (from the spreadsheet populated by our Google Doc sign up) and sends out the information as necessary.  This job is very easy to do only from home or during a work break on an as needed basis!

Yearbook Coordinator
In charge of compiling photos (or taking them) of school events throughout the year as well as using the Jostens software to design our annual year book, taking care to meet the deadlines provided by Jostens (our book publisher).
